We are seeking a highly organized and proactive Project Assistant to join our dynamic team in the renewable energy sector. As a key member of the Operations Team, you will play an essential role in supporting project execution and ensuring operational efficiency for a variety of projects, including solar PV, battery energy storage systems (BESS), microgrids, and data centers. This position requires exceptional attention to detail, strong communication skills, and the ability to manage multiple priorities effectively. This position reports to the Project Controls Manager and supports all aspects of project execution (Engineering, Procurement and Construction).

Document Control & Reporting:
Assist in maintaining project documentation, ensuring all records are current, accurate, and accessible.
Familiarize self with project information including but not limited to: customer contracts, interconnection agreements, engineering deliverables (drawings, studies), procurement records (POs, SOs, Supply Agreements), construction permits, and financial due diligence documentation.
Responsible for ensuring consistent folder structure and document placement of all project information.
Support the development, review, and distribution of project reports, including progress updates, status reports, and meeting minutes.
Support the development of a centralized project information database and project pages for retrieving key information.
Procurement & PO Tracking:
Monitor purchase orders (POs) to ensure timely processing and delivery of project materials and services.
Collaborate with procurement and vendor teams to resolve discrepancies and maintain up-to-date tracking logs.
Budget & Schedule Support:
Assist the Project Controls Manager in updating and monitoring project budgets, including expense tracking and cost analysis.
Provide support for project schedule updates, ensuring timelines are maintained and milestones are met.
Identify and communicate variances or potential risks to project budgets and schedules.
Team Coordination & Communication:
Facilitate communication and coordination among EPC team members, including engineers, project managers, and subcontractors.
Organize and schedule project meetings, prepare agendas, and track action items for follow-up.
Other Responsibilities:
Provide general administrative support to the Project Controls Manager and EPC Team as needed.
Contribute to the documentation and continuous improvement of processes to enhance project efficiency.
Liaise with Pacifico Energy group entities, facilitating meetings, communications and information sharing.
Job requirements
Education: Associate degree or higher in Business Administration, Project Management, or a related field (or equivalent work experience).
Experience: 2+ years of experience in project coordination, administrative support, or similar roles; experience in the renewable energy or construction industry is a plus.
Technical Skills:
Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint).
Familiarity with project management tools/software (e.g., Primavera P6, AutoCAD Build, Monday.com, Microsoft Project, Jira, Confluence or similar).
Experience with procurement and financial tracking systems is preferred.
Soft Skills:
Strong organizational skills and attention to detail.
Excellent written and verbal communication skills.
Ability to work in a fast-paced, team-oriented environment.
